Job Overview:

The Inventory Coordinator is primarily responsible for ensuring compliance with inventory, including timely allocations and accuracy. The general responsibilities of the position include those listed below, but Sodexo may identify other responsibilities of the position. These responsibilities may differ among accounts, depending on business necessities and client requirements.

General Responsibilities:

  • Performs inventory functions requiring the management of on-site store rooms by receiving packages, checking invoice accuracy, and packing, sorting and organizing inventory.
  • Prepares purchase orders by verifying specifications and price, obtaining recommendations from suppliers for substitute items and obtaining approval from requisitioning department.
  • Maintains and analyzes inventory transactions.
  • Receives reviews and prepares discrepancy reports for credits or returns.
  • Obtains purchased items by forwarding orders to suppliers, monitoring and expediting orders.
  • Resolves problems with appropriate personnel associated with inventory maintenance, such as stock discrepancies and inventory system issues.
  • Moves stock to appropriate locations, reviews order quantities and verifies purchase order information.
  • Forwards available inventory items by verifying stock; schedules delivery.
  • Transfers stock bin to bin as required.
  • Ensures that proper supply levels are maintained.
  • May collect unused chemicals from labs and refill chemical storage containers.
  • May contact vendors and suppliers for quotes, delivery instructions and follow-up on outstanding purchase orders.
  • Maintains files and records of materials, prices, inventories and deliveries.
  • Performs related clerical duties.
  • May operate a personal computer and appropriate software packages.
  • Complies with all Sodexo HACCP/OSHA and/or local policies and procedures.
  • Reports all accidents and injuries in a timely manner.
  • Complies with all company safety and risk management policies and procedures.
  • Participates in regular safety meetings, safety training and hazard assessments.  
  • Attends training programs (classroom and virtual) as designated.
  • May perform other duties and responsibilities as assigned.

Job Qualifications:


  • High School diploma, GED, or equivalent experience.
  • 2 or more year related experience.

  • Ability to reach, bend, stoop, push and/or pull, and frequently lift up to 35 pounds and occasionally lift/move 40 pounds.

Working Conditions (may add additional conditions specific to defined work location):

  • Generally in an indoor setting; however, may supervise outside activities and events.
  • Varying schedule to include evenings, holidays, weekends and extended hours as business dictates.
  • While performing the duties of this job, the employee is primarily in a controlled, temperate environment; however, may be exposed to heat/cold during support of outside activities.
  • The noise level in the work environment is usually moderate to loud.


Position Specific Details to Green Bay Location:

Working from pre-work spreadsheets provided by a business area, this position will perform data entry, repetitive work in SAP and technical libraries. This may include, but is not limited to,
  • Routinely navigating through functional location structures, substructures, graphics, documents, bills of materials, etc.
  • Identify manufacturer’s parts that need to be registered , search these in multiple sources to determine correct naming conventions and the detail required for registration
  • Enter requests and track through completion.
  • Run Health Reports used to maintain system accuracy and respond quickly to resolve issues
  • Import and transfer data between various software, convert files, attach and link files
  • filing of data into technical libraries, creation of task lists and maintenance plans and completing functional Locations Master Record data in SAP.
  • Workload fluctuates with projects.
  • Provide support to other areas within the department (i.e. issuing of parts, inventories and audits, etc.).
  • Industrial mechanical and/or electrical background is highly valued as parts data gathering comparing, and verifying is required.
  • Computer literacy in Microsoft Excel and Word is a must
  • Attention to detail and high level of productivity required
  • Both alpha and numeric data entry skills required
  • Ability to perform repetitive tasks
  • Must be comfortable around industrial equipment.
  • High level of problem solving required with multi-tasking being routine
  • Must be able to conceptually understand many work processes and respond to trigger points within the work processes
  • Must be able to work independently to resolve issues, interfacing with technical resources both in and out of the plant by e-mail and phone.
  • Must have good professional oral and written skills with the ability to prioritize, organize, and follow issues through to completion.
  • As workloads vary from project to project, flexibility and stress tolerance is a must
